We are looking for a highly organised Sales Support Coordinator to help our CEO and Directors progress opportunities reliably from initial interest through to an agreed handover. You will own the practical workflow around sales: research, scheduling, accurate records, proposal coordination and credible follow-up.

This is a proactive, part-time role bringing pace, organisation and consistent follow-through to Eleven's sales process.

Reports to: CEO / Directors

Level: Coordinator-level; experienced administrator rather than senior commercial hire

Working pattern: Remote, with reliable overlap with UK business hours

Hours: Part-time; approximately 10 hours per week

Contract and rate: To be agreed based on experience and final scope

The role

Most sales activity is currently led by our CEO. This role will give him dependable support before and after meetings, reduce the time spent on routine administration and ensure promising opportunities do not lose momentum through delayed or inconsistent follow-up.

This is an admin-first role with genuine ownership. It is not a senior sales, commercial-strategy or closing position: the Directors will continue to own commercial conversations, solution direction, pricing and final decisions. Your job is to make the process around them run exceptionally well.

What you'll do

Keep opportunities moving

Maintain and own accurate sales tracking using our CRM and act as the company CRM System Guardian, ensuring every active lead and proposal has a clear status, owner, next step and follow-up date.  Every company and client profile is tagged and enriched to ensure clear segmentation. All opportunities are fully up to date and realistic.

Follow up warm leads, help arrange appointments and keep momentum between initial interest and the next meaningful sales conversation.

Be copied into proposals and draft thoughtful follow-up messages, normally four to five business days after sending, then track responses and progress the next action.

Prompt internal owners when information, approval or action is needed, and flag stalled or at-risk opportunities early.

Proactively manage a a concise regular pipeline update covering movement, upcoming actions, overdue follow-ups and points requiring a Director's input. Confidently suggesting and driving next actions across the team, including the CEO and Directors, to ensure nothing is left undone.

Prepare and coordinate sales activity

Research prospects, companies, markets and relevant stakeholders before sales calls, turning your findings into concise, useful preparation notes.

Collaborate on marketing activities, working with the internal team and external providers to help proactively drive success across our marketing programmes.

Coordinate meeting logistics and materials, making sure the right people have the right context at the right time.

Capture meeting notes, decisions and actions, then update the sales record and make sure agreed follow-ups happen.

Support proposal administration by gathering approved inputs, managing versions, formatting documents, tracking deadlines and confirming that the final proposal has been sent.

Maintain an organised bank of approved case studies, testimonials, credentials and supporting evidence for sales use.

Support a clean handover

Once an opportunity is agreed, assemble the relevant notes, commitments, contacts and documents so the client-services and delivery teams can onboard the client confidently.

Help improve templates, checklists and simple workflows that make sales administration faster, clearer and more consistent over time.

Handle commercially sensitive information with care and maintain professional, accurate records throughout the process.

What we're looking for

Excellent written and spoken English. You can draft a concise human written follow-up that is confident   and commercially aware.

Strong organisation and attention to detail. You can manage multiple small moving parts without losing the thread.

A proactive, hands-on mindset. You notice loose ends, take sensible action and enjoy getting things finished.

Good commercial judgement. You know when to act independently, when to ask a question and when a message needs senior input.

Confidence communicating with senior prospects and clients by email, while matching the tone and context of the conversation.

Team player. You will collaborate closely with our team on research, preparation and to quickly and reliably respond to clients. 

Strong research and synthesis skills. You can find reliable information quickly and turn it into a useful short brief.

Confidence with CRMs, shared documents and structured digital workflows, together with the ability to learn new systems quickly.

Reliability, discretion and availability for agreed hours with regular overlap across the UK working day.

Useful, but not essential

Experience in sales administration, business-development coordination, executive support or account support, ideally in a B2B agency or professional-services business.

Experience using a CRM such as HubSpot or Pipedrive, or maintaining an equally disciplined sales tracker.

Experience using Claude Co-Work or ChatGPT Work with skills to assist in client research and proposal writing.

Experience coordinating proposals, pitch documents, procurement information or e-signature workflows.

Familiarity with content marketing, SEO/AEO, digital marketing or agency services.

Experience supporting a founder, CEO or senior commercial lead in a remote team.

What success looks like

You will be given a 30 day set up period to with with the CEO and the team to set up all of the processes discussed.

Every active opportunity has a reliable status, next action, owner and date.

Sales calls are supported by concise preparation and followed by clear notes and actions.

Proposal follow-ups happen at the agreed time and sound credible, warm and professional.

The CEO and Directors spend materially less time chasing routine actions and maintaining sales records.

Newly won work moves into onboarding with commitments and context clearly captured.
